Frequently asked questions
Do we need anything beyond Google Workspace?
No. Every user signs in with their existing Google Workspace account; there are no separate passwords and nothing to install on laptops or phones. Approvers act from Google Chat, on desktop or the mobile app. The only addition is a Google Cloud project that your organization creates during setup to hold your workflow data — see the next question.
What is this Google Cloud project, and what does it cost us?
It is the container Google provides for your organization's data and services, created in your own Google Cloud account under your own ownership. WorkFlura stores every workflow, submission, approval, and attachment there — not on our servers. Google bills you directly for its usage, which for typical approval volumes amounts to a few dollars a month, often within the free tier. Because you own the project, you can inspect, query, back up, or export the data at any time, and it stays yours if you ever stop using WorkFlura.
Who can see our data?
Your users, according to the roles your administrator sets: submitters see their own requests, approvers see what is assigned to them, and reporting is limited to the people you designate. You can name more than one System Administrator — we recommend at least two — so administration never depends on a single person. Because your organization owns the Google Cloud project the data lives in, anyone it grants access to that project can also read the data directly there, outside WorkFlura's roles; your organization decides who that is. Scultura holds only licensing, billing, and configuration records. If a support case ever needs a look inside your project, your administrator grants time-limited, logged access from the Admin Console and can revoke it at any time.
How much technical skill does setup and workflow design require?
Setup is a guided wizard for your Workspace administrator, about 45 minutes end to end, with each step checked before you move on. Ready to set up? Write to info@sculturats.com and we'll walk through it together on a 45-minute Google Meet. Designing workflows is drag-and-drop: you draw the steps, pick approvers by person, role, or organizational unit, and set conditions in plain form-field terms. No code, no scripts. Start from a template and adjust it, or build from a blank canvas.
What happens when an approver is slow or away?
Every step carries the time limit you set. WorkFlura shows SLA status on each request in real time, reports on breaches, and follows the escalation path you designed in the workflow, so a request never simply sits with someone who is out of office. Managers see delays as they happen rather than after the fact.
Can we change a workflow after it is live?
Yes. Open it in the designer, change the routing, conditions, or SLA, and save. Policy figures such as approval thresholds are kept as effective-dated values, so when a limit changes on a given date you update the value once and every workflow that references it follows automatically.
Will WorkFlura touch our existing Google Forms or Drive files?
No. WorkFlura works only with forms it creates for you and files you deliberately attach to a request. Its Google permissions are limited to exactly that, and it cannot browse the rest of your Drive.
How does the trial work, and what happens afterward?
You get 30 days on the Starter or Team plan with every feature and no credit card. If you subscribe, you pick the plan that fits your organization's size; all plans include all features. If you decide not to continue, the tenant enters a short read-only period and then closes, while your data remains in your own project. Plans can be changed at any time from the Billing page, and Enterprise Custom arrangements are available for larger or unusual requirements.
Can approvals be trusted for audit purposes?
Yes. Each decision is tied to a Google-authenticated identity and a timestamp and written to an audit log that end users cannot alter. Together with attachments kept on the request and retention you control, this gives auditors an attributed, tamper-evident record without any extra process.
Where is the service hosted?
WorkFlura's own service runs on Google Cloud in the Mumbai (asia-south1) region. Your organization's data lives in your own Google Cloud project, in whichever region you choose when you create it.
How do we pay, and in which currency?
Subscriptions are annual and sold through Paddle, our Merchant of Record. Prices are listed in USD and shown in your local currency at checkout where available; Paddle calculates and collects applicable taxes and issues the invoice. Scultura never sees your card details.
